Counterfoil Monthly Tip-Report Collector
For clubs with employee dancers, bartenders and servers who receive tips

Twelve deadlines a year, one for every tipped employee.

Counterfoil keeps the monthly list: every tipped employee working that month, and whether their signed tip statement is in, late, under $20, missing, or incomplete. It moves the 10th past weekends and holidays the way the IRS does, and will not send the month’s total to payroll while a statement is missing or unsigned.

The problem

Chased by text message on the 9th.

IRS Publication 531 says an employee who receives $20 or more in tips in a month from one job reports them to the employer by the 10th of the next month, on a signed, dated statement for that one month. The old Forms 4070 and 4070A are retired, so the statement is the club’s own. Without every one, payroll withholds wrong, and the club owes its own share either way.

Will not send payroll a total with a statement missing.

Not a reminder. Send to payroll refuses, with the reason named, while anyone working that month has no statement, or one that is unsigned, undated, signed before the month ended, or covering more than one month. A late statement is recorded, not blocking. There is no override.

How it works

Staff, statements, payroll

List the tipped staff

Names and start dates only. Each one is asked every month they work.

Receive each statement

The month, the total, the date and the signature. Counterfoil marks it on time, late or incomplete.

Send the total

When every statement for the month is in and signed, send the total to payroll.

What it will never do

It keeps the list. Not the Social Security numbers.

The statement itself stays in the payroll file. Counterfoil records that it arrived and what it said.

No SSNs, no addresses.Ever. Counterfoil records receipt, signature, timing and total.
No payroll link. You hand the total to payroll; nothing is sent anywhere.
It is not an accountant.A withholding question goes to yours.
It never touches a payment. The subscription is for software.

Questions

The ones we actually get asked

What if the 10th is a Sunday?

It moves to the next day that is not a weekend or legal holiday. Counterfoil gets both of Publication 531’s own examples right.

Do statements under $20 count?

They are not required, but Counterfoil keeps them if handed in.

What makes a statement incomplete?

Unsigned, undated, received before it was signed, signed before the month ended, or covering more than one calendar month.

Is this tax advice?

No. It is the list you wish you had kept.

What do I actually get when I pay?

The demo on this page is the whole program, running on invented records. Paying gets you a licence key — one line of text, emailed to the address you give at checkout within two working days. Paste it into the program and from then on it keeps your own records. Until then, nothing you type into it is kept.

The key is checked inside the page, on your own machine. It never calls us, so there is still no account and nothing about your business goes anywhere. If you ever stop paying, your records stay exactly where they are, read-only, and Export still hands you every one of them.
